What will you do in this position?
You will coordinate and control a full range of business support services for the Dnipro Field Office, to ensure that services are delivered effectively.

The war in Ukraine has had drastic consequences, both for people inside the country and for those around the world who depend on its food supplies. The war has caused immense suffering for civilians, displaced families, and disrupted supply chains and food production. It has caused one of the fastest forced population movements since the Second World War. Close to 6 million Ukrainians are still living as refugees across Europe, and almost 3.6 million are internally displaced. Many have lost their homes and livelihoods. As food production and supply lines are disrupted by fighting, many families in the east and south of Ukraine do not have reliable access to nutritious food.
WFP uses a combination of food and cash assistance to support communities affected by the war. This includes working with local partners to distribute food boxes in areas near the frontline and providing cash transfers in locations where people have access to banks and markets to buy food. Since March 2022, WFP has distributed food and cash assistance equivalent to 3.7 billion meals to people displaced and affected by the war.

How can you make a difference?
In this position, you will have to:
- Act as a focal point for planning of the official missions and delegations. This will be done through coordination with different units in the office, such as Management service, Program, Supply Chain and Security unit and sharing the information with the Travel Focal Point for the required arrangements.
- Revise and review correspondence and documentation, providing feedback and making amendments where appropriate, to contribute to production of these materials to time and quality standards.
- Provide a set of standard business support services to Office Management to contribute to the effective functioning of business operations. An example of a business support service is making travel arrangements by following a standard procedure. Respond to business support queries to provide a timely and accurate resolution and provision of translation in meetings.
- Undertake on-boarding of new staff members in compliance with relevant processes and procedures.
- Assist in creating simple images or information using standardized templates, such as graphs or tables to support the drafting of reports for staff.
- Assist office management in various tasks such as planning and monitoring of budgets and other activities. Actively seek and use feedback to improve business processes and procedures.
- Proofread written documents, such as standard reports and correspondence, to contribute to the accuracy of written information developed by staff.
- Proper management of WFP resources, cash, stationery, and other consumables, ensure accountability and preparation of quarterly stock balances report.
- Assess and recommend improvements to procedures and practices, to contribute to the effective delivery of business support services.
- Providing support for events management, workshops and RFQs ensuring proper budget utilization and approvals are obtain in line with organizational financial rules. This includes submission of related invoices and payment requests.
- Support the office management in production of various data and compile and prepare reports to contribute to the provision of accurate information for informative decision-making and to support the effective and timely management of WFP resources.
- Provide training and guidance to staff in interpretation of administrative procedures, policies, processes, and use of corporate systems to ensure consistency and efficiency of services provided to all clients.
To join us in saving lives, changing lives, you will have:
Education: Completion of secondary school education. A post-secondary certificate in a related area.
Experience: Six or more years of progressively responsible relevant work experience in general administrative work.
Post-secondary education can compensate for some years of experience. For example, you will be considered as eligible if you have:
- Three (3) years of work experience in combination with a Master’s Degree;
- Four (4) years of work experience in combination with a Bachelor’s Degree.
Knowledge & Skills:
- Good Communication Skills: Ability to provide short briefings and communications clearly and concisely, both orally and in writing.
- Ability to engage effectively at field level with a wide range of actors including those in the international humanitarian community and governments.
- Working in a team: Ability to work within a team setting and working well with other team members to realize a collective objective.
- Work under pressure: Ability to multi-task and respond simultaneously and in a timely fashion to demanding job requirements under high pressure environments.
- Knowledge of commonly used Applications: Ability to effectively use commonly used office software applications (Word, Excel, PowerPoint, Outlook etc.).
- Skills in data management would be added advantage.
Language: Fluency (level C) in both in English and Ukrainian languages.
