Job title:

Project manager assistant / administrator

Duty Station:

Kramatorsk, field visits to field locations when necessary

Education & Work Experience:

Master’s Level Degree – 2 year(s) experience on administrative job/

Professional experience in coordination, administrative management, capacity building is required, relevant experience in humanitarian organizations is advantage

Languages Required:

Fluent written and spoken English, Russian, Ukrainian

Duties and Responsibilities:

  • Plans and evaluates assistance programs activities on the project according to the implementation plan and ensures that latest findings, lesson learnt, policy guidelines etc. are incorporated into these activities;
  • Ensures collection, analysis and interpretation of data in the area of coordination, overall project management and proper reporting, information management and information dissemination, contributes to the preparation of various written documents;
  • Contributes to employee engagement, provides their performance management, HR requests, professional development and training activities and controls the activities implementation by the project staff;
  • Oversees project team capacity building within delegated area of responsibility;
  • Ensures full compliance of administrative activities in the frame of the project;
  • Implements and facilitates coordination activities on the ground, focusing on preparedness, support to emergency response and control of the project activities;
  • Coordinating and monitoring the delivery of humanitarian assistance, participating in need assessments and specifying unmet requirements;
  • Maintains close liaison with respective Civil-Military units on the ground to ensure the access of the project field teams to the relevant field areas and facilitates resolution of any access-related impediments for humanitarian assistance;
  • Consolidates and maintains a database of beneficiaries, project stakeholders and suppliers;
  • Oversees and coordinates efficient strategic partnerships and information and data exchange with all relevant stakeholders as well as among various structures of governmental institutions, NGOs and other actors in the subject area in the frame of the project;
  • Responds to various inquiries and information requests internally and externally;
  • Participates when necessary in working groups, meetings, conferences, consultations with other agencies and partners on coordination, humanitarian response and emergency relief-related matters;
  • Ensures the proper use and spending of donor’s fundings;
  • In close collaboration with the Project Manager ensures overall operational/administrative management in the assigned project;
  • Performs any other duties assigned by the Project Manager.
