The Program/Department Summary:

Operations Department provides key support to the entire country program in procurement, asset management, warehouse management, fleet management and facilities & office management for successful program implementation. 

General Position Summary:

Administrative Officer oversees facilities and office management functions at the site, and ensures compliance with Field relevant policies and procedures, with substantive support from the Operations Director/Manager.

Main Responsibilities

Safeguarding Responsibilities

  • Actively learns about safeguarding and integrates it into their work, including safeguarding risks and mitigations related to their area of work.
  • Practices the values of Mercy Corps including respecting the dignity and well-being of participants and fellow team members.
  • Encourages openness and communication in their team; encourages team members to submit reports if they have any concerns using reporting mechanisms e.g., Integrity Hotline and other options.

Essential Responsibilities

  • Manage and renew office and house/apartment rental agreements.
  • Establish and maintain appropriate filing systems for office correspondence. Receive and dispatch mail.
  • Organize all country travel arrangements, including bookings, accommodations, visas, and ticketing for Mercy Corps staff and guests, and other logistics responsibilities as required.
  • Keep and maintain accurate general inventory management records, including inventory tracking.
  • Ensure that the office is run in a professional and responsible manner, including hosting guests, cleaning, receptionist duties and general contact and liaison with outside agencies.
  • Provide verbal and written translation support documents, contracts, meeting, statements, records, etc., as requested.
  • Purchase of office supplies.
  • Conduct themself both professionally and personally in such a manner as to bring credit to Mercy Corps and to not jeopardize its humanitarian mission.

Reports Directly To: Operations Manager

Works Directly With: Programs, Finance, HR, Operations and Security Teams.

Minimum Qualifications & Transferable Skills

  • Minimum 2 years’ experience with office administration or facilities management.
  • Excellent computer skills are required.
  • Must be an independent thinker and have strong organizational skills.
  • Demonstrated experience scheduling.
  •  Fluency in English is a plus, Ukrainian is required.

Living Conditions / Environmental Conditions

During the field trips living conditions will be adjusted to the field conditions.
