About the Ukraine War Archive

The Ukraine War Archive (UWA) is the largest independent digital repository documenting Russia’s invasion of Ukraine. Built and maintained by a 30-member Ukrainian team, our cloud platform protects 280 TB of video, photographs, documents, and oral-history interviews: material that serves human-rights monitors, historians, researchers, and international tribunals. Independent of governmental or corporate influence, the UWA demonstrates how civil society can safeguard truth and pursue justice at scale.

The Opportunity

The Data Ingestion Specialist plays a crucial role in safeguarding and systematising incoming media evidence. This position ensures that all video, photo, and document materials entering the UWA platform are properly received, organised, described, and preserved in accordance with international archival standards and internal protocols.

Location: Kyiv / Hybrid
Contract: 12 months, full-time (40 hours/week)
Department: Data Management and Archival Operations
Reports to: Head of Partnerships

Key Responsibilities

1. Media Material Acquisition

  • Receive and download media files from users, web submissions, email, and partner organisations.
  • Validate received materials, ensuring completeness and integrity before storage.
  • Organise uploads into designated system storage areas according to internal procedures.

2. Material Processing & Cataloguing

  • Apply consistent naming conventions and folder structures aligned with internal metadata standards.
  • Group related media items into coherent sets (e.g., event, location, or incident).
  • Document source details and initial classification metadata for ingestion.

3. Data Entry and Metadata Management

  • Input initial descriptive data into the archive database: location, date, time, author/owner, and contextual notes.
  • Verify and align data with existing records to prevent duplication.
  • Create transfer acts and maintain accurate documentation for all partner-provided materials.

4. Access and Compliance Management

  • Manage access permissions for internal users and partners, following legal and ethical protocols.
  • Ensure compliance with data-sharing agreements, copyright conditions, and sensitivity restrictions.
  • Track usage rights and maintain a log of any redistribution or modification.

5. Quality Control and Verification

  • Conduct routine checks for metadata accuracy and structural consistency.
  • Reorganise and rename materials to match platform standards when necessary.
  • Flag and report incomplete or suspicious files to senior data managers for review.

6. File Conversion and Preservation Readiness

  • Convert materials into approved archival formats suitable for long-term storage and system compatibility.
  • Monitor storage integrity and coordinate with the technical team on ingestion workflows.

Qualifications

  • Proven experience in digital content management, archival operations, or media handling.
  • Strong understanding of file organisation, metadata standards, and digital storage systems.
  • Working knowledge of digital preservation formats and basic technical processes (e.g., file conversion, checksum verification).
  • High attention to detail, confidentiality, and accuracy in data handling.
  • Intermediate English proficiency (Ukrainian required).
  • Familiarity with digital evidence, documentation ethics, or human rights archiving is an advantage.
