Title> Local Project Coordinator for an EU-financed project
Assignment Overview:
The Local Project Coordinator will be responsible for providing administrative and logistics support to the Team leader and the project team, ensuring smooth and efficient office operations, and managing communication with project counterparts. The Local Project Coordinator (Kyiv) will report to the Project Manager (Stockholm) and the Team Leader (Kyiv) and supervise the office support team.
This is a full-time position, 10.00-18.00 daily, based in the project office centrally located in Kyiv.
Key Responsibilities:
- Oversee full operational responsibility for office management, including supervise the office support team.
- Assist the Project Team Leader in daily administrative operations
- Lead correspondence in English and Ukrainian.
- Onboard project long-term and short-term experts and introduce them to operational manual procedures.
- Act as the security focal point for the project.
- Liaise between the project office and NIRAS Headquarters.
- Ensure efficient flow of administrative documents (contracts, invoices), their accessibility, and archiving.
- Systematize workflow to support the Team Leader and other team members.
- Organize and coordinate various events such as study visits, info-sessions, and conferences.
- Support the revision of project implementation procedures and workflow planning.
- Support streamlining of existing project business processes.
- Assist in quality management and monitoring of streamlined project business processes.
- Provide office support at the project office in Kyiv and ensure smooth and efficient office operations.
- Plan trips, accommodations, and lodging for the project team and the backstopping team.
- Assist in the procurement of local providers for logistics and conference management, coordinate their work, and ensure quality checks.
- Perform translation and interpretation from English to Ukrainian and vice versa.
- Perform other project tasks as assigned by the Team Leader or Project Manager.
- Coordinate visits to Kyiv by Project Director (Kristina) and Project Manager (Anastasia)
Qualifications:
- A Bachelor’s degree in a relevant area.
- Minimum of 5 years of proven experience as a project manager or project coordinator.
- Previous experience from an EU-financed project is highly desirable.
- Excellent time management skills and the ability to prioritize work.
- Proven record of making travel and meeting arrangements as well as other logistics tasks.
- Knowledge of office management systems and procedures.
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) and Zoom/Teams.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills in Ukrainian and English.
- Strong organizational skills with the ability to multi-task.
- Self-motivation.
