Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) in Ukraine is seeking a qualified professional for the Country Office to fill the position:
HR Assistant (Staff Administration) (full-time, Kyiv)
(internal SAP code: HR Specialist)

Responsibilities:
HR Assistant is responsible for:
- Dealing with all types of HR-related requests from national staff.
- Smooth cooperation with the third party GDIP (General Directorate for rendering services for diplomatic missions) who are providing staff administration and payroll services to GIZ Ukraine.
- Supporting HR team in their daily work in different aspects.
Tasks
- Staff Administration
HR Assistant:
- Ensures smooth exchange of the documents between HR Unit and GIZ UA employees (Employment Contracts, Certificates etc).
- Ensures proper information flow between GIZ HR and GDIP (letters, orders etc) including visits to GDIP.
- Responsible for proper documenting of main staff administration documents (employment, resignation, vacations etc).
- Responsible for proper filing of all the documentation (personnel files, orders, staff requests etc) both digitally and in hard copies.
- Ensures tracking of all types of absences of national staff.
- Prepares business trip documentation (order) when requested by employees.
- Takes care of proper termination process for GIZ employees (Termination agreement, delivering Labour books etc).
- Organizes timely payment on the invoices, related to HR (service fee to GDIP etc).
- Other adhoc request from HR team and management.
- HR instruments and procedures
HR Assistant:
- Assists in implementing policies for national personnel.
- Assists with formulating and updating a wide range of HR information materials.
- Assists with developing HR procedures and instruments.
- Ensures proper personnel data storage (personnel files, SAP data etc).
- Other duties/additional tasks
HR Assistant:
- Performs other duties and tasks upon management requests.
Required qualifications, competences and experience:
- BA/MSc degree in social sciences or psychology (if possible, with a focus on HR management) or comparable degree.
- Initial experience in assistant role or experience in HR field would be an asset.
Other knowledge, additional competences:
- Good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office, Teams).
- Basic knowledge of HR management, knowledge of national labour and social law would be an asset.
- At least upper-intermediate level of English language, German language would be an asset.
- Awareness of how to handle HR issues appropriately (confidentiality, data protection).
- Very good communication skills and client-orientation.
- Stress-resistance and good time-management.

Employment conditions
Full-time position with 40-hours working week. The contract duration is 1 year. Prolongation is possible. Starting as soon as possible.
