About APOPO:
APOPO is an award-winning Belgian NGO established in 1997 and currently operating in 10 countries. APOPO’s mission is to protect the people and the planet using scent-detection animals. The organisation trains and deploys rats and dogs in humanitarian missions such as the detection of explosives, diseases, illegal trafficking and search & rescue. APOPO currently has over 300 operational animals, most of which are working in Mine Action, which makes it the largest animal detection operator in the sector.
About APOPO in Ukraine:
Since the Russian invasion of 24th February, Ukraine has been severely affected by landmines, cluster munitions and other explosive remnants of war. The scale of the conflict and the use of high impact and indiscriminate weapons requires an urgent and extensive response. APOPO aims to accelerate the reduction of suspected hazardous areas in Ukraine through the use of its Technical Survey Dog Teams. APOPO registered in Ukraine in 2023 and the program started in January 2024. APOPO’s dog training centre is established in Krasylivka, and the operations are conducted in partnership with the Mines Advisory Group and the Ukrainian Deminers Association, in areas prioritized by the government. The main offices of APOPO Ukraine are in Kyiv.
ABOUT THE ROLE:
The role of a Logistics Officer is centred around supporting the Operational Activities and efficiently managing the movement and storage of goods and materials within the program. Logistics Officer plays a crucial role in ensuring that the right products are delivered to the right location at the right time, upon the operational needs. The main key aspects of the role are:
General Responsibilities in Logistics and Procurement Support:
• Support procurement activities for goods, materials, and services under the guidance of the Support Service Manager, including purchase orders and basic subcontract administration.
• Coordinate and track logistics of deliveries, including domestic and international shipments.
• Monitor storage, warehousing, and inventory of goods to ensure proper handling, safety, and availability.
• Assist in implementing logistics processes to ensure timely and cost-effective delivery of goods.
• Liaise with transportation partners, couriers, and customs brokers; follow up on shipments and escalate issues related to delays or damages.
• Ensure that goods meet basic transportation and storage requirements
• Support price comparisons and basic cost analyses for procurements.
• Assist in reviewing requisition documentation, cost estimates, statements of work, and technical specifications for completeness and accuracy.
• Support non-procurement and non-logistics staff in preparing correct requisitions and logistics-related documentation.
• Assist in basic market research to identify potential suppliers and logistics service providers.
• Maintain professional and ethical relationships with suppliers and logistics partners in line with APOPO policies.
• Purchase of tickets and hotel reservations for national and international staff
Purchase Orders and Subcontract Support
• Assist in the preparation, tracking, and amendment of purchase orders and subcontracts.
• Support invoice verification by checking delivery documentation and matching invoices with purchase orders and receipts.
• Ensure timely submission of verified documentation to the Finance Team for payment processing.
Policies and Procedures:
• Follow procurement and logistics policies and procedures to ensure transparency, fairness, and accuracy.
• Support compliance with storage, transportation, and safety standards.
• Assist in ensuring customs documentation is complete and accurate for international shipments.
• Help project staff understand and comply with procurement and logistics procedures.
Compliance and Documentation:
• Maintain organized electronic and physical records for procurement and logistics activities.
• Support internal checks of procurement and logistics files to ensure completeness and accuracy.
• Assist in internal and external audits by preparing documentation and responding to information requests.
Reporting:
• Track and update the status of procurements, shipments, and deliveries.
• Contribute data and inputs to quarterly and annual reports.
• Prepare basic logistics and procurement reports for management upon request.
The Logistics Officer role requires strong organizational and problem-solving skills, attention to detail, and the ability to work in a fast-paced environment. Effective communication and collaboration with various teams and external partners are essential for successful logistics management.
ABOUT YOU:
We are seeking a candidate with:
• Fluent Ukrainian verbal and written communication, and English verbal communication. English writing skills are an advantage.
• Educational Background: bachelor’s degree in logistics, supply chain management, or a related field is preferred. Relevant certifications or professional training in logistics and supply chain management are advantageous.
• Experience: A minimum of 3 years of experience in logistics, supply chain management, or a related field, with a demonstrated track record of managing logistics operations.
• Technical Skills: Proficiency in logistics management software and tools, strong data analysis skills, and a good understanding of procurement, inventory management, and transportation principles.
• Communication and Collaboration: Excellent verbal and written communication skills, ability to work collaboratively with diverse stakeholders, and strong negotiation and conflict resolution abilities.
• Attention to Detail: Strong organizational and analytical skills, meticulous attention to detail, and the ability to manage multiple tasks and priorities simultaneously.
• Problem-Solving: Proven ability to identify and resolve logistical challenges, adapt to changing circumstances, and make sound decisions under pressure.
