Position: Field Coordinator (FC) (Local hire ONLY, Ukraine-based, full-time, travels within Ukraine up to 30% of time required).

Position

DKMS is currently looking to expand its field presence in Ukraine and is searching for an experienced individual to fulfil the role of Field Coordinator. The Field Coordinator reports to the DKMS Country Manager. 

Main Duties and Responsibilities

  • Managing and leading DKMS’s full-time and standby research teams. Supervising field researchers to ensure the daily completion of tasks and data collection activities.
  • Promptly notify the Country Manager of any operational hurdles, such as access denials, delays, or researcher unavailability, to ensure timely mitigation. Additionally, immediately report any security threats or incidents that could compromise safety, health, or the reputation of the company and its clients.
  • Maintaining good relations with DKMS’s network of stakeholders in various oblasts.
  • Performing daily data validation and sharing validated data with the Information Management Unit (IMU). Reporting red flags to the IMU along with necessary evidence and information.
  • Directly coordinating with local authorities, partners and communicating daily with the line manager or technical referents at the company’s HQ.
  • Conducting safety and risk assessments and communicating them to the line manager along with recommendations, and supporting subsequent contingency planning.
  • Providing safety briefings to field researchers and cross-checking emergency contact forms before assignments, while acting as a focal point for field researchers regarding the start/end missions movement tracker, overseeing the movement of field researchers between cities, towns and villages in accordance with movement plans as well as closely following up with the field team during assignments to ensure their safety and security in the field, clearly sticking to safety in the field protocol.
  • Routinely reviewing risk mitigation and management protocols and reporting on situation updates.
  • Distributing and tracking DKMS assets.
  • Assisting in the recruitment process of field researchers and tracking their performance.
  • Conducting, contributing to and participating in all training, workshops and seminars arranged by DKMS for field researchers and/or coordinators, and actively promoting the culture of learning by identifying gaps in knowledge for DKMS to act upon accordingly.
  • Monitoring local educational platforms for relevant online training, and encouraging field researchers to participate, while tracking and logging certificates of completion obtained by field researchers.
  • Strictly complying with the Company’s Code of Conduct, Non-Disclosure Agreement, PSEAH, Modern Slavery Policy, Accountability and Humanitarian Principles.
  • Undertaking other duties that may be assigned by the line manager. 

Requirements

DKMS welcomes self-motivated, structured, organised, accountable, patient and transparent individuals for the role of Field Coordinator. In addition to fulfilling mandatory requirements and possessing a managerial mindset, the skillset of the FC should include experience in planning, logistics, safety and security knowledge, Ukrainian and English proficiency and sensitivity when dealing with tight deadlines and overlapping priorities. Below is the list of minimum requirements for the candidates:

  • At minimum Master’s Degree with at least six years of relevant work experience in Management, Logistics, Social science, Communication, Psychology or another related field. Previous experience as a field coordinator is an advantage.
  • Experience working with governmental authorities, local or international NGOs.
  • Familiarity with conducting assessments, research, interviews and engaging with communities to understand their needs.
  • Knowledge and understanding of the context and issues related to the emergency response in Ukraine.
  • Experience in conducting training, particularly for field researchers.
  • Advanced user of Microsoft and Google applications, and equipped with the digital articulacy to implement solutions proposed by the Company’s Information Technology and Information Management Units.
  • Ability to deliver results within tight deadlines.
  • Fluency in Ukrainian and English is mandatory.
  • Position is based in Ukraine (preferably in Kyiv) and open for Ukrainians only.
  • Ability to travel within Ukraine and abroad.
  • Desire to learn, develop and ability to work with limited supervision.

Travels

Transportation and any accommodation costs related to on-duty travel will be covered by DKMS on the basis of a signed Field Trip Form and Reimbursement Request, alongside proof of costs incurred.

Relationship with Company

The Field Coordinator’s legal relations with the Company are regulated by the employment contract, which offers full-time employment in accordance with the local labour law, which includes a three-month probation period).

DKMS values a safe work environment and, considering best practices of working with colleagues, clients, field team and beneficiaries, the short listed candidate will be asked to provide a criminal clearance certificate.
