What will you do in this position?
You will coordinate and control a full range of business support services for a specific professional area of work, to ensure that services are delivered effectively. Facilitate the document flow of meetings (to translate and to prepare and/or consolidate reports, documentation, correspondence, briefing notes (MoM), prepare the agenda of the meetings, and coordinate these meetings between all parties of the WFP&FAO Land Release Project .

How can you make a difference?
In this position, you will have to:
- Prepare and/or consolidate comprehensive reports, documentation, correspondence, briefing notes, minutes of meetings, etc.
- Manage the daily/weekly/monthly agenda and arrange new meetings and appointments.
- Prepare and disseminate correspondence, memos and forms.
- File and update contact information of employees, customers, suppliers and external partners.
- Support and facilitate the completion of regular reports.
- Develop and maintain a filing system.
- Assist office management in planning, monitoring and reconciling budget(s) to ensure that planned financial resources are used effectively.
- Assess and recommend improvements to procedures and practices, to contribute to the effective delivery of business support services
- Provide office management with dedicated executive assistant support.
- Controlled and monitored attendance and absenteeism records.
- Act as a Focal Point for travel-related processes and matters.
- Support in movement management and recording for Kharkiv-Dnipro staff as well as live translation for meeting with officials
- Perform other tasks as requested
To join us in saving lives, changing lives, you will have:
Education: Completion of secondary school education. A post-secondary certificate in the related functional area.
Experience: Six (6) years with Secondary education or four (4) years with University Degree of progressively responsible work experience in the relative business stream with experience in general administrative work.
Knowledge & Skills:
- Specialized knowledge of the application of common business processes, practical business support methods, procedures and systems used in area of work, gained through technical training and work experience.
- Good communication skills in order to provide specialized business support services to a wide range of individuals.
- Ability to analyse and interpret financial data and monitor budgets.
- Ability to proactively identify and recommend areas for improvement to the design and delivery of specialised services.
- Ability to build relationships with a variety of individuals across functions.
- Experience in coordinating the work of others and self and training and supporting others.
- Ability to maintain confidentiality
Language: Fluency (level C) in both English and Ukrainian languages.
