Seeking accounting and financial and administrative assistant

Labor Initiatives` pro bono legal work is motivated by the need for accessible legal services for workers whose rights may be violated by employers or who need support in their freedom of association and collective bargaining efforts.
We are seeking a highly organized and detail-oriented financial and administrative assistant to support our team at Labor Initiatives implementing international democracy and development projects.
This key role will aid in managing financial and administrative processes, in close cooperation with the finance officer and program officers. This position will help to ensure the timeliness and accuracy of reporting to local authorities and project partners/donors, facilitate communication across the team, and maintain the accuracy and integrity of financial and monitoring data, as well as support general programmatic and administrative efforts across projects. The position will contribute to the overall efficiency and effectiveness of our accounting and administrative operations. The job will be involved in program implementation, working with partners in Ukraine, to help effectively manage program activities and cover related administrative and support needs.
Main responsibilities:
- Provide administrative and financial assistance for program activities and implementation; including some in-country travel to aid in event planning and administrative and financial support and monitoring and evaluation needs.
- Assist in maintaining accounting and tax records in accordance with the national legislative requirements of Ukraine and methodological principles of accounting for NGOs;
- Assist the finance officer in ensuring that the organization is up to date/compliant with the most current regulations, in accordance with changes made by the government from time to time, tracking the latest changes in Ukrainian labor, tax and accounting legislation.
Additional duties:
- Review bank transactions, timely calculation and payment of taxes for salaries, annual leave, staff per diem, civil contracts payments, etc.;
- Check contracts, certificates of work performed/acceptance, supporting bank documentation, invoices provided by vendors, to ensuring correct processing of all relevant financial and contractual documentation;
- Support program implementation, assisting with activity planning, implementation, and follow-up reporting;
- Support procurement processes;
- Support inventory processes;
- Support external audit procedures;
- Performing related financial and administrative tasks as assigned.
Qualifications and skills:
- Accounting/finance education, or 2+ years of experience in similar roles;
- Demonstrated experience in administrative support;
- Knowledge of NGO tax and accounting contexts helpful;
- Experience working in an administrative capacity with internationally funded programs;
- Familiar with BAS, MeDoc, Vchasno, Excel, and/or other financial tools helpful;
- Excellent verbal and written communication skills;
- Highly organized, with a focus on attention to detail;
- Responsibility and time management at a high level;
- Strong organization and problem-solving skills;
- Willingness to learn new things and develop;
- Demonstrated interest in civil society, human rights, and democracy work in Ukraine;
- English (B2+ preferred) and Ukrainian (fluent).
