PLAN INTERNATIONAL IN UKRAINE

Plan International responded to the Ukraine Crisis since March 2022, starting in countries hosting Ukrainian refugees (Moldova, Romania, Poland) and thereafter expanding humanitarian operations inside Ukraine since August 2022. Since October 2022, Plan International has been duly registered in Ukraine as a representative office of Plan International Inc.

Role Purpose and Background

The conflict in Ukraine is resulting in a major humanitarian crisis with over 4 million people having fled to neighbouring countries, and millions displaced within Ukraine. Plan International is responding to the crisis and working in partnership with civil society organisations in Poland, Romania, and Moldova to meet the key needs of those affected by the crisis as well as host communities.

Plan International has been present in Ukraine since July 2022 and has established partnerships with civil society organisations, ensuring national actors are equipped with technical support, best practices and flexible resources, with a primary thematic focus on Child Protection, Education and Mental Health & Psychosocial Support.

Dimensions of the Role

The position contributes to this goal by supporting the finance and accounting functions for the Ukraine office and its activities in the country by ensuring efficiency, effectiveness and value for money transactions.

The post holder supports the Finance Manager and the Accountant to process financial transactions and analysis. The role has specific responsibility for purchase ledger and undertakes the processing and payment of all supplier invoices and expenses claims.

Accountabilities

To be responsible for the day-to-day operation of the Purchase Ledger systems (UAH, € and US$). Specifically:

  • Check invoices – including coding, authorization and required backup;
  • Prepare and post journals to the general ledger;
  • Ensure that all invoices and expenses submitted to Purchase Ledger comply with Plan International’s finance procedures;
  • Input invoices and expenses onto the Plan International’s accounting systems: SAP and BAS and file documents;
  • Process payments of due invoices;
  • Liaise with external suppliers regarding queries both in writing and on the telephone;
  • Reconcile supplier statements;
  • Prepare bank Reconciliations for Supplier Invoices Payments;
  • Contribute to month end reporting and analyses;
  • File all supporting documents in an appropriate way and support the team during audits
  • Other ad-hoc accounting tasks as required.

Finance Manager, Accountant, Projects staff and other support staff (HR, Finance and Logistics).

Technical expertise, skills, and knowledge

Essential Knowledge

  • Good knowledge of Ukrainian legislation, National accounting standards and Ukrainian regulations
  • Good working knowledge of computer systems including BAS (or 1C), Excel, Word and Outlook
  • Purchase ledger and other ledger experience within a Finance department;
  • Part qualified AAT desirable or qualified by experience.

  • The ability to coordinate and plan work efficiently in order to meet deadlines and prioritise effectively;
  • Able to work well under pressure;
  • Strong written and oral communication skills and ability to communicate with employees with different levels of financial understanding.
  • Strong written and spoken English.
