Program Assistant Consultancy at NDI Ukraine
The National Democratic Institute (NDI) is a non-profit organization working to strengthen democracy worldwide. NDI Ukraine is currently seeking a Program Assistant Consultancy to support its work with political participation and engagement of women, veterans, youth and other groups and institutional partners in Ukraine.
The position is envisioned as a 40 hours/week consultancy in a remote format, with ongoing in-person engagement in Kyiv and periodic travel to other cities of Ukraine for meetings and program-related activities. The role focuses on administrative and operational support, documentation management, and assistance in the implementation of program activities.
The selected candidate will work closely with program and administrative teams to ensure smooth day-to-day operations and compliance with internal procedures. The consultancy engagement is anticipated for an initial period till the end of December 2026, with any continuation contingent upon performance, program requirements, and the availability of funding.
Position Title: Program Assistant Consultancy, NDI Ukraine
Tasks and Responsibilities:
- Provide administrative and operational support to program activities implemented in cooperation with civil society organizations, partner organizations, governmental bodies and other stakeholders, ensuring prompt and accurate internal communication and responding to routine inquiries;
- Support the preparation, processing, and tracking of program-related documentation, including contracts, payments, and financial paperwork, in close coordination with the finance team, as well as preparation of meeting notes, activity summaries, and background information on political and institutional actors when required;
- Maintain clear and prompt communication with partners, vendors, event participants, and other stakeholders relevant to program activities;
- Assist with logistical arrangements for program events, meetings, and travel;
- Provide high-quality oral interpretation and written translation from English into Ukrainian and vice versa as needed;
- Follow political developments and provide updates relevant to program work;
- Undertake other duties as assigned by the supervisor.
Qualifications:
- Bachelor’s Degree in Political Science, Public Administration, Sociology, International Relations, or a related field required;
- At least two years of previous experience in administrative or program support is required; experience handling contracts, payments, or similar documentation is a strong asset;
- Understanding of Ukraine’s political, civic, or institutional landscape is preferred;
- Experience in working with political actors, public institutions, or international organizations is an advantage;
- Ability to work effectively in a hybrid work environment with flexibility for in-person and online engagement;
- Availability and ability to participate in business trips on an occasional basis;
- Registered as a Private Entrepreneur (ФОП) in Ukraine or readiness to register as a PE before the start of the consultancy;
- Strong organizational skills and attention to detail, particularly in working with documentation and deadlines;
- Fluency in English and Ukrainian is required;
- Working knowledge of Microsoft Office and Google Workspace (Gmail, Calendar, Google Drive, etc.).
