About APOPO:
APOPO is an award-winning Belgian NGO established in 1997 and currently operating in 10 countries. APOPO’s mission is to protect the people and the planet using scent detection animals. The organization trains and deploys rats and dogs in humanitarian missions such as the detection of explosives, diseases, illegal trafficking and search & rescue. APOPO currently has over 300 operational animals, most of which are working in Mine Action, which makes it the largest animal detection operator in the sector.
About APOPO in Ukraine:
Since the Russian invasion of 24th February, Ukraine has been severely affected by landmines, cluster munitions and other explosive remnants of war. The scale of the conflict and the use of high impact and indiscriminate weapons requires an urgent and extensive response. APOPO aims to accelerate the reduction of suspected hazardous areas in Ukraine using its Technical Survey Dog Teams. APOPO registered in Ukraine in 2023. APOPO’s dog training centre is established in Krasylivka, and the operations will be conducted in partnership with Mines Advisory Group, in areas prioritized by the government. The main offices of APOPO Ukraine are in Kyiv.
ABOUT THE ROLE:
The Procurement & Logistics Assistant will report to the Logistics Coordinator. S/he will contribute to the efficient and effective accomplishment of the assigned tasks. Assist the Logistics Coordinator in the preparation of goods, accounting and other tasks to inventory, stock control, warehouse activities and supply if needed. The main duties will be:
- Review and process requisitions, pick lists, and issuing/receiving documents, ensuring accuracy, completeness, and proper authorization before execution.
- Coordinate with the Logistics Coordinator and other team members on stock management matters, including item receipts, shortages, and the establishment of quotas and issuing schedules for frequently used materials and consumables.
- Monitor and maintain optimal stock levels to ensure the continuous availability of commonly used items.
- Ensure that all stock items are properly stored, labeled, rotated, and disposed of in accordance with safety and organizational policies.
- Conduct periodic physical inventory checks to reconcile system records with actual stock and report discrepancies to the Logistics Coordinator.
- Support the execution of procurement processes, including preparing purchase requests, collecting quotations, conducting comparative analyses, and assisting in supplier evaluations as required.
- Assist in warehouse operations, ensuring efficient receipt, inspection, recording, and dispatch of goods, as well as maintaining proper storage conditions.
- Support asset management and tracking activities, ensuring all organizational assets are properly tagged, recorded, and updated in the asset register.
- Coordinate and organize transport requirements, including scheduling deliveries, vehicle allocation, and ensuring timely distribution of goods and materials.
- Maintain accurate and up-to-date logistics records and documentation, ensuring compliance with donor and organizational audit requirements.
- Collaborate with program and support teams to ensure timely and effective logistical support for field operations.
- Perform any other related duties as assigned by the Logistics Coordinator or Program manager.
ABOUT YOU:
We are seeking a candidate with:
- Previous experience of procurement, storekeeping, identifying suppliers, conducting market surveys etc.
- Valid driving license B category;
- Working knowledge of English;
- Experience in general logistics tasks like storage guidelines, working safety etc.;
- Computer skills, knowledge, and experience of Microsoft Office
- Ability to work methodically, accurately and with attention to details as well as to tight deadlines under supervision;
- Good interpersonal and communication skills, ability to communicate effectively in spoken and in writing;
- Ability to work independently and harmoniously with colleagues and as part of a team
