Reform initiative and position summary:
Agriteam Canada Consulting Ltd. is looking for highly professional experts surrounding communications, to help the Cabinet of Ministers of Ukraine in development of communication strategy, to produce content and teach civil servants to build capacity within the institutions.

Office Manager will assist in establishing and maintaining office documentation and filing system and operational backstopping of the office.

The expert will be based in Kyiv.

Level of effort: Full time, Monday-Friday.

For contracting (after the job offer is made), the selected candidate should be able to get registered as a Private Entrepreneur of the 3d group (consultancy services).

Contract assignment is 1 year.

Indicative duties and responsibilities (scope of work):
1. Assist in operational backstopping of the Office by ensuring timely provision of suitable inputs such as equipment, stationary and other utilities required.
2. Receive and make telephone calls and emails, keep record of those and inform the Office staff members concerned.
3. Maintain a schedule of planned meetings and keep the Office staff informed.
4. Assist in preparing logistics and administrative stuff for holding meetings, events, etc.
5. Organize meetings including venues, facilities, document preparation.
6. Monitor project budget and financial expenditures and their conformity to the work-plan; process direct payments and advance requests and prepare project budget revisions.
7. Keep record of communication training and workshop needs of state servants working in governmental communications and of the staff members of the Office of Communications of the Government.
8. Organize media and communications trainings and workshops for the respective individuals.
9. Assist in developing and organizing study tours for the respective individuals.
10. Plan and organize weekly meetings for the staff members of the Office of Communications of the Government and the state servants working in governmental communications for the Office members to share their experience with the latter ones and involve them to Government communications weekly planning.
11. Assist the staff members of the Office of Communications of the Government in preparing communication instructions for the state servants working in governmental communications.
12. Carry out any other duties as assigned.

Preferred qualifications and skills:
1. Bachelor’s Degree.
2. 2-4 years of experience in a similar position.
3. Experience of working with Microsoft Office Word, Excel, Power Point etc.
4. Fluent Ukrainian, Intermediate English.
5. Focus on problem solving – result orientation.
6. Excellent communication and presentation skills.
7. Strong multitasking and organizational skills.
8. Ability to work under pressure.
