Description of Duties

Office Management:

  • optimizing the office layout to accommodate staff and equipment efficiently, including the working places, meeting rooms, and common areas
  • overseeing the regular maintenance and upkeep of the office space, including repairs, cleanliness, and the functioning of utilities such as heating, and air conditioning

Procurement:

  • identifying and evaluating potential suppliers, negotiating contracts, and maintaining relationships with vendor
  • managing contracts and agreements with suppliers, tracking contract milestones, and renewing contracts as necessary
  • ensuring that procured goods and services meet the required quality standards and specifications
  • managing inventory levels to avoid overstocking or understocking while minimizing waste
  • creation and management of procurement requests (PAF)
  • regular check of the quota utilization of PAFs
  • collaborating with other departments, such as finance and project teams, to understand their procurement needs and priorities

Asset Management:

  • keeping records in the online asset tracker, ensuring they are correct and updated
  • responsible for timely filling out and availability of internal equipment receipts
  • regular physical check of the assets (inventory)

Coordination and Event Planning:

  • organizing and managing various events and meetings within the office
  • coordinating internal and external meetings ensuring they are well-organized and productive
  • arranging training sessions, workshops, and seminars that may take place in the office space
  • organizing meetings, and team-building activities
  • A focal point for all vendors
  • Undertake other duties as requested by the line manager.

Requirements

  • Education
  • University an Institute degree in business administration, economics, finance, logistics or relevant field
  • Experience
  • With at least two years of work experience in Administration or Logistics field, preferably in the humanitarian sector
  • Soft skills
  • Flexible and adaptable to any situation
  • Ability to work independently while under pressure and during long hours
  • Excellent work habits with a willingness to work in a multi-cultural environment
  • Excellent organizational skills, including proven ability in administration, financial and logistics
  • Excellent communication skills, including drafting documents.
  • Programmes
  • Good computer skills in Microsoft Office
