Communications & Event Specialist

The Energy Security Project (ESP) is a seven-year project funded by the United States Agency for International Development (USAID). It is the largest USAID project in Ukraine so far. USAID ESP is implemented by a USAID Contractor, Tetra Tech ES, Inc., a California-based leading provider of services in the areas of water, environment, infrastructure, resource management, energy, and international development.

The USAID ESP mission is to enhance Ukraine’s energy security, improve the energy legal and regulatory environment in the country, and increase the resilience of Ukraine’s energy supply. This will help to support the country’s economic development and sustain its democracy. USAID ESP is working closely with the Government of Ukraine (GOU) to develop competitive energy markets. By doing so, USAID ESP will facilitate private sector-led energy investments to provide affordable, reliable, resilient, and secure energy for all Ukrainians. USAID ESP is currently in the fifth year of implementation and will run through June 2025.

Position Summary:

Tetra Tech ES, Inc. implementing the USAID Energy Security Project is looking for a Communications & Event Specialist to support ESP activities to implement effective project communication strategies at the national, regional and local levels. The Communications and Event Specialist will develop communications content, support event organization, help with media promotion of project activities, and work with ESP technical staff/partners/vendors to ensure the compliance of media materials with USAID regulations. This is a full-time position for the period of 1 year with the possibility of extension for another term, based in the Kyiv office, Ukraine. The position will be reporting to the ESP’s Communications and Public Outreach Director.

Responsibilities:

  • In cooperation with Senior Communications Manager and Executive, Government and Stakeholder Liaison Manager, support and help organize ESP events, ranging from working meetings to high-level public events of different formats (online, offline, hybrid) with the participation of the officials from the Government of Ukraine, the U.S. Government and USAID.
  • In coordination with the Senior Communications Manager, Executive, Government and Stakeholder Liaison Manager, technical staff and the project leadership to develop event concepts, agendas, prepare list of invitees, plan and execute a wide variety of events and public dialogue activities that support the overall objectives of the project and the specific sub-tasks itemized in the Annual Work Plan;
  • Draft event scenarios and invitation letters, prepare event announcements and promote events through ESP’s online platforms, compile agenda, communicate with speakers and deal with the related arrangements, take care of participant registration, prepare event reports, prepare event handouts, and arrange event follow-up communication.
  • Visit event sites, collaborate with local counterparts on event organization and take care of site preparation in line with USAID branding rules.
  • Arrange photo and video shoot during events, set up tasks for filming crews, coordinate preparation of photo reportages, videos for social media and slideshows, images with quotes to be used as an event follow-up communication.
  • Attend events and draft the related news, take photos, make screenshots for ESP online platforms (website, social media – Facebook, LinkedIn). If necessary, produce events minutes.
  • Create and manage an event calendar, regularly collect information from technical teams and contribute to weekly reports to the Client.
  • In close collaboration with Executive, Government and Stakeholder Liaison Manager, work with vendors to ensure all events related arrangements, including but not limited to preparation of handouts, interpretation, branding, transportation, moderation, hotel and travel arrangements, meals, etc.
  • Collaborate with the ESP technical staff on highlighting their project activities to the public and on achieving results and reaching targets through effective communications;
  • Implement other communication-related activities and tasks as required.
  • At least three years of relevant experience in preparing public events with international organizations;
  • Interest in energy sector changes and reforms;
  • Experience in social media platforms management;
  • Prior experience with USAID-funded or other international organization projects is an asset; understanding and ability to apply USAID branding and marking rules is a must;
  • Highly motivated, energetic, reliable team player;
  • Ability and willingness to travel;
  • Strong communications skills – both oral and written;
  • Fluency in English and proficiency in Ukrainian is required;

Qualifications:

  • Experience in events’ management;
  • At least three years of relevant experience in preparing public events with international organizations;
  • Interest in energy sector changes and reforms;
  • Experience in social media platforms management;
  • Prior experience with USAID-funded or other international organization projects is an asset; understanding and ability to apply USAID branding and marking rules is a must;
  • Highly motivated, energetic, reliable team player;
  • Ability and willingness to travel;
  • Strong communications skills – both oral and written;
  • Fluency in English and proficiency in Ukrainian is required
