Position Title: ICT Assets Management Assistant
Duty Station: Kyiv, Ukraine
Classification: General Service Staff, Grade G5
Type of Appointment: Special Short-Term, Six months with the possibility of extension

Under the overall supervision of the Chief of Mission (CoM) and direct supervision of the Information and Communications Technical Officer (ICT), and in collaboration with relevant units at Headquarters and the Administrative Centres, the successful candidate will be responsible and accountable for ICT administration and related functions in IOM Kyiv Main and Sub-Offices.

Core Functions / Responsibilities:

  1. Provide daily assistance and training to staff of different projects in Main, Migration Health Unit (MHU) and all Field Offices of the Mission in using ICT standard software, hardware, and other equipment when it’s required. Daily troubleshooting on operational ICT problems and helping in finding relevant solutions. Provide remote technical assistance where it’s needed.
  2. Daily monitor Mission Help Desk system based on the Global Fresh Desk Service, as well as related users account administration. Ensure proper Task tracking depending on the mission workload, including tracking of IOM Kyiv Helpdesk system, tasks, report generation, as well as assist in task prioritizing.
  3. Manage office’s ICT inventory for hardware and software (safeguarding media and licenses), including regular updates to the technical documentation of IT Assets.
  4. Ensure proper tracking and administration of Mission ICT Assets at all Missions hubs, ICT warehouses and Field Offices, including laptops/PCs pre-deployment preparation, administration and installation of OS, related updates on both ad hoc and regular bases, suggest the best possible technical solutions to achieve the required ICT standards while taking into consideration local technical constraints. Provide hardware maintenance and support of devices covered by warranty.
  5. Register all newly purchased ICT assets in local tracking system as well as through SAP in compliance with IOM asset inventory policy.
  6. Maintain records of all asset transactions (creation, assignment, transfer, handover, and retirement), ensuring that an efficient filing system for records regarding assets are in place. Proper tracking of Asset Assignment Form.
  7. Assist in administration of Mission workstations and devices by using Microsoft Endpoint Manager admin center.
  8. Ensure proper tracking and managing of consumables for Mission printers, MFU, copiers and other devices.
  9. Assist in preparation of specifications and configurations for purchasing of computer and communication equipment or expendable materials, as well as technical assessment of tender proposals and documentations, providing guidance to mission in evaluating needs for upgrading and eventually replacing ICT equipment and systems in the offices.
  10. Assist in regular updating of Mission ICT infrastructure plans, including regular updates of the technical documentation of ICT Systems.
  11. Perform such other relevant duties as may be assigned.

Required Qualifications and Experience


  • High school diploma/certificate with at least five years of relevant work experience


  • Bachelor’s Degree or equivalent in Computer Sciences, IT, Engineering, Programming or related field with three years of relevant professional experience.


  • Experience in the area of information technology, administration and troubleshooting of the communication equipment, Windows based systems, computer hardware.
  • Experience on implementation and administration of Microsoft Windows based network environment (LAN/WAN) and first level network/desktop support.
  • Experience in MS SQL is an asset.
  • Experience working in an international organization is an advantage.


  • Knowledge of IOM corporate ICT tools would be an asset.
  • Deep knowledge of Windows based applications and systems, AD, GPO.
  • Knowledge of technical communication and documentation standards.
  • Knowledge and experience in PHP, Java, HTML, mySQL, web design and development of web-based office applications an asset.
  • Extensive knowledge of Windows OS, O365, Azure, Windows Defender, different HelpDesk systems, Microsoft Endpoint manager Admin Center, Windows-based applications and packages, Cloud solutions, TCP/IP, DNS, Telecoms, Network Protocols, VSAT, SAT telecommunication, VPN, VoIP, MS Office, antivirus software/utilities. Graphic packages (Photoshop, Illustrator, InDesign) is an advantage.


Fluency in English, Ukrainian and Russian is required.
