The Embassy of Switzerland in Kyiv is looking for a

Human Resources Assistant (50%)

 as of 01.02 2026

We are seeking a highly motivated and organized Human Resources Assistant to join our dynamic team. The ideal candidate will play a key role in supporting the day-to-day activities of the Operations and Services division, assisting with recruitment, employee-onboarding, record-keeping, and ensuring compliance with Embassy policies. Main duties and responsibilities:

  • Absence Control and Time Management: Administer absence and time records, ensuring completeness and accuracy.
  • Staff Claims Review: Assist in reviewing staff claims (medical expenses) for completeness and accuracy before submission for approval.
  • HR Document Preparation: Prepare standard HR documents such as employment confirmations, work certificates, and other HR-related paperwork.
  • Training & Onboarding: Help organize internal training sessions, maintain training records, support the organization of trainings and staff events, and support the onboarding and offboarding processes by preparing documentation and facilitating orientation.
  • Recruitment Support: Assist with the recruitment process, including preparing documentation, organizing candidate materials, and scheduling interviews.
  • HR Policies and Tools Development: Contribute to maintaining and updating HR policies, procedures, and tools, ensuring compliance with both internal procedures and national labor laws.

Required academic qualifications & Professional experience:

  • University degree in Business Administration or similar
  • Previous experience in Human Resources Administration minimum 2 years, preferably in an Embassy or International NGO
  • Proficiency in Office Software (Word, Excel, Outlook, PowerPoint) and experience in electronic filing system

Required skills:

  • Customer-service orientation, self-motivated, ability to work independently and under pressure
  • Good communication, time management, attention to details and strong organization skills
  • Highly motivated, self-starter and team player who is willing to take directives and follow procedures
  • Proficiency in English and Ukrainian required; knowledge of German and French is an asset

Other conditions of employment:

Type of Position: part-time, 20 working hours per week. Staff recruited locally by the Swiss Embassy in Kyiv is subject to Terms and Conditions of Service according to local Ukrainian employment law.

All applicants should have the right to live and work in Ukraine. Persons potentially subject to military service have to provide proof of their valid military registration. The Embassy does not sponsor work permits and costs connected with relocation if offered a position.

The successful candidate will be subject to professional background and security clearance. In case you are invited for an interview, your language skills are going to be assessed.
