AVSI is a non-profit non-governmental organization (NGO), recognized by the Ministry of Foreign Affairs and credited at the United Nations Economic and Social Council. In Ukraine, AVSI in partnership with EMMAUS implements humanitarian activities such as Food and Non-food items distribution, in Education and Protection sector. With regards to the above and in the framework of the project ‘IRINA: Intersectoral Initiative to support victims of Ukrainian Crisis’ funded by Italian Agency for Development Cooperation (AICS), AVSI and EMMAUS are currently seeking to recruit a:

Position: Administrator

Duty Stations: Poltava city

Department: Operations

Starting date: ASAP

Period: 2 months of probation with possibility to extend

Report to: Project Manager and Operational Manager

Summary of the key responsibilities:

  • Share expenditures incurred to the Project Manager on a weekly basis
  • Guarantee that funds are used in accordance with project budget and timing ;
  • Ensure that procurement operations are compliant with AVSI and donor procedures ;  
  • Support the Project Manager in planning and forecasting expenses;
  • In collaboration with the Project Manager, ensure that local staff are hired in accordance with local laws and supervise the payment of taxes as required by local regulations
  • In collaboration with the Project Manager, prepare periodic and final financial reports as required by the donor ;
  • Ensure proper accounting document storage (both in soft and hard copies)
  • Any additional tasks and duties  given by the Country Representative.

Required and essential qualifications:

  • Bachelor’s degree in Economics, Business Administration or equivalent and related field of studies
  • Excellent knowledge of English language (both written and oral)
  • At least, 3 years of experience in administrative and accounting management

Other preferable requirements:

  • Knowledgeable on donor’s procedures and accounting (especially Italian Agency for Development Cooperation);
  • Knowledgeable on accounting system;
  • Previous experience in working with International NGO ;
  • Having done any training in coordination, distribution of cash and/or basic goods, education and psychosocial support;
  • Excellent communication skills (both oral and written);
  • Knowledge of humanitarian standards;
  • Detail-oriented and works with a high degree of accuracy;
  • Highly organized and flexible;
  • Able to work under pressure and under strict deadlines;
  • Strong team-building;
  • Strong logical reasoning, critical thinking and problem solving;
  • Proficient in Microsoft Office applications and use of relevant software and other applications, e.g. word processing, spreadsheet, database, internet;
