The Program/Department Summary:

Mercy Corps Ukraine has created an Innovation and Inclusion Fund for Ukraine. The goal of this Fund is to identify and support innovations that have the potential to significantly improve the lives of Ukrainian people. The fund seeks innovations that demonstrate strong social impact, offer more effective solutions to specific social or development issues, and align with Mercy Corps Ukraine’s strategy, namely in the areas of inclusion, agriculture, economic development, climate change, recovery and humanitarian assistance.

Operations Department provides key support to the entire country program in procurement, asset management, warehouse management, fleet management and facilities & office management for successful program implementation.

General Position Summary:

Administration Assistant/Driver supports facilities and office management functions at the site, and ensures compliance with field relevant policies and procedures, with substantive support from the Administration Officer. The Administration Assistant/Driver will provide safe transport services for Mercy Corps staff in the described area of responsibility.

Main Responsibilities

Safeguarding Responsibilities

  • Actively learns about safeguarding and integrates it into their work, including safeguarding risks and mitigations related to their area of work.
  • Practices the values of Mercy Corps including respecting the dignity and well-being of participants and fellow team members.
  • Encourages openness and communication in their team; encourages team members to submit reports if they have any concerns using reporting mechanisms e.g., Integrity Hotline and other options.

Essential Responsibilities

  • Assist Administration Officer in facilitating the smooth flow of routine facilities and office management of the Mercy Corps office.
  • Ensuring the necessary traffic of correspondence between the MC offices.
  • Assist in the management of assets, office accessories and supplies.
  • Create trip plans for drivers in the city and out of town.
  • Must have a clear understanding of all policies and support needs; must be able to help facilitate training to all support staff to ensure the smooth, uninterrupted implementation of all MC programs.
  • Ensure the office and compound are clean and maintained at a routine schedule.
  • Translation of any program or office documentation, as required.
  • Ensure proper management and coordination of staff travel arrangements including accommodation, transport, security, visas.
  • Operate MC vehicles as assigned by the supervisor.
  • Maintain vehicle log-sheets in accordance with Field Fleet Management Policy.
  • Check the vehicle conditions after each trip/routinely — report needs and problems to Fleet Manager/Officer.
  • Conduct themself both professionally and personally in such a manner as to bring credit to Mercy Corps and to not jeopardize its humanitarian mission.

Reports Directly To: Administration Officer

Works Directly With: Programs, Finance, HR, Operations and Security Teams.

Minimum Qualifications & Transferable Skills

  • Minimum 2 years’ experience with office administration or facilities management.
  • Excellent computer skills are required.
  • Must be an independent thinker and have strong organizational skills.
  • Demonstrated experience scheduling.
  • Fluency in English, Ukrainian and Russian is required.
  • Valid driver’s license and experience in driving 4×4 vehicles.
  • Must respect and adhere to all safety and traffic rules.

Living Conditions / Environmental Conditions

During the field trips living conditions will be adjusted to the field conditions.
