Finance and Logistic Assistant – Асистент/ка з фінансів та логістики

Work at a joint project of Emmaus NGO and AVSI foundation.

AVSI Foundation is a global non-governmental organization with headquarters in Italy and currently operating in 30 countries. Its mission is to support human development in developing countries: recognizing the uniqueness of each person, who as such cannot be reduced to a number within an anonymous category such as “the poor, the sick, the disabled”. In Ukraine, AVSI implements humanitarian activities such as Food and Non-food items distributions, Education, Child Protection and Protection sector.

Role: The organisation is now seeking to recruit one suitable qualified Ukrainian National for the position of Finance and Logistic Assistant

Department: Administration

Duty Station: Poltava

Remuneration Package: Basic Pay + Monthly Health Benefit 

Aim of the position: The Finance/Logistic Assistant will assist at the Poltava office in the general operational management of the dedicated project by following logistic operations and procedures and respecting all AVSI procedures.

Main tasks and responsibilities:

1) Logistics Duties

  • Organize logistics related documentation as needed, ensuring paperwork is arranged promptly and appropriately. 
  • Keep accurate stock-cards of goods transiting (in and out) and inform management of necessary purchases, when stocks are low
  • Ensure all logistics related assistances are completed in timely manner
  • Assist to submit and settle Monthly Cash Advance with Logistics Officer
  • Ensure all procurement activities comply with AVSI Foundation policy and procedure (i.e. Operation Manual)
  • Prepare logistic related documentation and submit to Logistics officer on monthly basis
  • Guarantee the proper storage of all relevant documents to trace order history

2) Admin/Finance Duties

  • Monitor and follow up cash disbursement, remittance and advance return according to AVSI Foundation guidelines; 
  • Ensure financial accountability by requiring all staff to provide proper documentation and signatures on vouchers, purchase orders, or payments of any kind; 
  • To verify that proper procedure for administration operations is in place and correctly implemented in accordance with the AVSI Rules (Operations manual and AMPE) 
  • Scan, copy and back up monthly financial reports and documents
  • Proper filing of finance and HR related documents

Essential Requirements:

Education: Bachelor degree (bookkeeping, administration or logistic studies preferred)

Work Experience: Minimum 1 year working experience in a similar position 

Required skills and experiences:

Hard skills:

  • Demonstrated experience in supporting administration and procurement processes (during daily routing activities as well as during annual audits)
  • Sound understanding of finance procedures (double-entry method, petty cash books management, bank-cash reconciliations, etc.)
  • Good computer knowledge with proficiency with MS Office suite (especially Excel)
  • Strong organizational skills with ability to handle multiple tasks
  • Excellent experience in supporting report writing and making translations into English
  • Willingness to work under pressure and under strict deadlines
  • Aptitude to field work with ability to travel with short notice

Soft Skills:  

  • Proactive and willing to take initiative
  • Flexibility 
  • Good communication domain, problem solving and diplomatic skills
  • Good interpersonal skills & team-working skills and provide support to multiple staffs
  • Respect when dealing with others
  • Identify him/herself with the mission, vision and values of AVSI Foundation

Additional skill and\or experience:

Language Proficiency: Excellent written and verbal communication in English
