DESCRIPTION OF DUTIES

In the context of the WHO Health Emergencies Programme, the Travel & Administrative Assistant will ensure and support stable day-to-day travel processes of the business operations unit in the WHO Country Office. The incumbent will be deployed to emergency operations when required:

1. Ensure transport support of daily Business Operations unit routines activities with appropriate transportation means, facilities and equipment.
2. Draft visa support letters and support with other documentation required for entry visas in UKR.
3. Support BOS team with drafting Travel Requests (TRs) when requested.
4. Serve as focal point for WHO travel rules and procedures in cooperation with EURO Regional office Travel Section5. Liaise with all Staff Members to submit their Travel plan in quarterly basis and ensure the plan is approved by supervisors and then WR.
6. Assist New staff member in their travel arrangement and advise on the best direct rout, serve as a focal point in staff travel arrangement with the support and coordination with the fleet team.
7. Liaise with the fleet team in updating travel routes within the country and revision of WHO shuttles.
8. Act as induction focal point on the travel policies.
9. Provides timely & proactive assistance on all travel needs in the context of the emergency response.
10. In close cooperation with the Field Security Officer, ensure that appropriate and safe living conditions are provided to WHO deployed staff and responders.
11. Perform any other related travel-specific duties, as required by the functional supervisor.

REQUIRED QUALIFICATIONS

Education

Essential: Equivalent to graduation from secondary school or technical or commercial school.
Desirable: Higher education from an accredited educational institution an asset.

Experience

Essential: At least 5 years of relevant experience in the travel support field

OR 3 years of relevant experience in the travel support field with a First level university Degree in public or business administration or any other relevant degree.

Desirable: Experience in an international environment or institution. Relevant experience in WHO or in the UN.

Use of Language Skills

Essential: Excellent knowledge of English and Local language.
Desirable: Knowledge of any other official UN language.

Functional Knowledge and Skills

Sound organization and wide range of office skills. Sound knowledge of using office and computer packages, ability to multitask, to work under pressure and independently when required. Demonstrated ability to provide sound methodological, technical advice and guidance in travel processes. Excellent analytical, planning and organizational skills. Ability to work in complex national or international settings Demonstrated ability to work in multicultural and multidisciplinary settings and excellent inter-personal skills. Ability to monitor and communicate progress in terms of process and results. Excellent communication, facilitation, and report-writing skills.

Other Skills

Excellent knowledge of Microsoft Office applications. Knowledge of ERP/Oracle applications is an asset.
