Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) in Ukraine is seeking a qualified professional for Country Office in Kyiv to fill the position of the:

Administrative Assistant (full-time, Kyiv)

Responsibilities:

Administrative Assistant is responsible for:

  • Processing of incoming and outgoing documentation
  • Administrative support of units
  • Replacing the office manager for periods of absence
  • Performing tasks on behalf of the management

Tasks:

  1. Processing incoming and outgoing documentation
  • Register and process incoming invoices, acceptance acts, and delivery notes in a timely and accurate manner
  • Perform initial checks and sorting of documents to ensure completeness, correctness, and compliance with internal procedures
  • Distribute scanned documents to the relevant units
  • Manage registration and dispatch of original signed acceptance acts and delivery notes to business partners via post
  1. Administrative support of units
  • Participate in tender opening procedure
  • Organize and prepare documents for archiving 
  • Maintain and regularly update the business partners database
  • Organize, ensure signing and approval of documents by authorized persons
  • Communicate within internal departments and external business partners regarding documentation matters
  • Provide support to units in completing and reporting on travel arrangements
  • Monitor and report on issues related to the security of national staff
  • Provide general administrative support
  1. Replacing the office manager for periods of absence
  2. Performing tasks as assigned by management
  • Performs other tasks and duties as requested by management
  • Provides support to other Country Office teams as needed
  • Assists with or directly performs other office work/tasks

Required qualifications, professional experience and personal competences:

  • University degree in languages or comparable.
  • At least 1 year of work experience in a comparable position.
  • Good working knowledge of ITC technologies (related software, phone, email, the internet) and computer applications (e.g. MS Office, Teams)
  • At least upper-intermediate level of English language
  • Awareness of how to handle sensitive information appropriately (confidentiality, data protection)
  • Very good communication skills and client-orientation
  • Strong teamwork orientation
  • Problem-solving approach to different matters
  • Stress-resistance and good time-management

Employment conditions: 

Full-time position with 40-hours working week. Place of assignment is Kyiv. Starting as soon as possible. The contract duration will be 12 months with the possibility of prolongation.
