Ukrainian Red Cross Society is looking for Danish Red Cross Administrative Officer

General provisions

The Administrative officer will be seconded by the Ukrainian Red Cross Society to the Danish Red Cross’ Country Office to support with all administrative duties associated to DRC Mission in Ukraine. Employed by URCS, the Administrative Officer will be reporting to the Danish Red Cross Head of Support delegate and work in close support to URCS, and in cooperation with Red Cross partners. The Administrative Officer will be based in Chernivtsi initially but will most likely be asked to relocate, following the change of location for the DRC Country Office. 

Qualification requirements:

  • University degree, preferably in the field of administration, international relations, or English language
  • At least one year of professional experience in Administration, preferably in (I)NGO, International Organization or social field
  • Work experience in international organization or context is an asset
  • Excellent time management and organisational skills
  • Integrity and honesty in dealing with confidential information
  • Ability to work independently and execute tasks in a reliable and competent manner
  • Strong ability to communicate with people and colleagues at different levels
  • Flexibility and capacity to adapt to challenging environment

Tasks and responsibilities:

The Administrative Officer is responsible for the following tasks:

  • Ensure support to the good establishment and follow up of CO Agreements and Contracts
  • Oversee and manage all administrative filing and records, and archiving
  • Ensure liaison with IFRC office regarding administrative issues under Integration Agreement
  • Provide logistics and administrative support in arranging meetings, translation, trainings, workshops, documentation, scanning, photocopying, etc
  • Support with the organisation and facilitation of country visits and deployments
  • Support the capacity of staff in administration, office management and related functions
  • Provide support to the office in all other administrative matters for travel booking, accommodation booking, telephones, internet, services, visa support for delegates etc
  • Support workshop and training preparation in close collaboration with URCS or partners
  • Ensure that the personal files for DRC staff are in accordance with Standardized Filing System and contains all required documents, tracks and updates any missing information/documents
  • Administrate the accommodation, visas and travel arrangements for DRC delegates and visitors
  • Develop and manage a professional Welcome Service, co-ordinate visits, briefings and debriefings that take place at the Office
  • Manage office assets and equipment’s in an organized and efficient way

Must know

  • Knowledge on administration and organization
  • Understanding of the humanitarian context and social needs in Ukraine
  • Fluent in Ukrainian and excellent level of written and spoken English, with the ability to translate
  • Excellent level of computer skills MS Office, Word and Excel
  • Knowledge of the Red Cross and Red Crescent Movement is an asset
