About APOPO:
APOPO is an award-winning Belgian NGO established in 1997 and currently operating in 10 countries. APOPO’s mission is to protect the people and the planet using scent detection animals. The organization trains and deploys rats and dogs in humanitarian missions such as the detection of explosives, diseases, illegal trafficking and search & rescue. APOPO currently has over 300 operational animals, most of which are working in Mine Action, which makes it the largest animal detection operator in the sector.
About APOPO in Ukraine:
Since the Russian invasion of 24th February, Ukraine has been severely affected by landmines, cluster munitions and other explosive remnants of war. The scale of the conflict and the use of high impact and indiscriminate weapons requires an urgent and extensive response. APOPO aims to accelerate the reduction of suspected hazardous areas in Ukraine using its Technical Survey Dog Teams. APOPO registered in Ukraine in 2023. APOPO’s dog training centre is established in Krasylivka, and the operations will be conducted in partnership with Mines Advisory Group, in areas prioritized by the government. The main offices of APOPO Ukraine are in Kyiv.
ABOUT THE ROLE:
The Location Coordinator will play a central role in ensuring the smooth operation and coordination of all activities at the DTC Krasylivka facility. This includes acting as the primary liaison between departments, managing facility usage and logistics, and supporting training and visitor coordination. The successful candidate will be organized, proactive, and capable of working closely with diverse teams to maintain high standards of efficiency and collaboration. The main duties will be:
Operational Management
- Coordinate and maintain close communication with key kennel staff to ensure optimal animal welfare standards and operational efficiency.
- Oversee the daily maintenance and functionality of all APOPO facilities at the site, ensuring they are clean, safe, and well-equipped for both staff and visitors.
- Serve as the main contact for the logistics department, facilitating timely and accurate procurement, deliveries, and resource allocation.
- Work closely with the Head Trainer to schedule, prepare for, and support all training activities at the facility. This includes ensuring training spaces, equipment, and animals are ready and available as needed.
- Manage and coordinate all visits to the facility, including delegations, stakeholders, and training observers. This includes scheduling, hosting, and ensuring a professional and informative visitor experience.
- Oversee the booking, usage, and upkeep of on-site accommodation and communal facilities, ensuring they meet the needs of staff, trainees, and visitors. Ensure proper inventory, management and maintenance of DTC equipment.
Reporting, Communications and Representation
- Ensure daily communication and coordination with the Senior Management Team and coordinate DTC meetings and briefings.
- Ensure timely and detailed production of APOPO program internal reports as directed by the Program Manager / Support Services Manager.
- Participate in the preparation of presentations and informational materials for donors and partners.
- Represent APOPO when dealing with any visitors to the DTC.
- Ensure all relevant parties are kept informed of APOPO activities as appropriate.
Information Managementand Business Planning
- Provide relevant materials, case studies, photographs, events and media contacts in line with APOPO’s corporate profile, identity and message as directed by the PM/SSM.
- Provide input into relevant in-country management and program development meetings.
General Duties
- Work within the framework of APOPO’s core values, promoting its ethos and mission statement.
- Act as the safeguarding lead at the location ensuring policies are followed.
- Promote a culture of safety and wellbeing for staff and service users.
- Monitor compliance with occupational health, safety, and fire protection regulations on the DTC.
- Work towards achieving departmental business plan objectives.
- Keep informed of APOPO activities.
- Work as part of a team and liaise with other departments to ensure effective communications across the organisation.
- Ensure familiarity with and adhere to all APOPO policies and procedures
- Participate in meetings, networks, seminars and conferences where relevant and beneficial to APOPO and its mission and mandate.
- Undertake any other duties appropriate to the post as may be required.
ABOUT YOU:
We are seeking a candidate with:
Qualifications and Experience
- University degree in administration, management, logistics, or a related field.
- At least 3 years of proven experience in operations coordination, logistics, or facility management (NGO or training facility experience preferred).
- Strong interpersonal and communication skills; ability to coordinate across diverse teams.
- Ability to multitask and prioritize responsibilities in a dynamic work environment.
- Proficiency in Microsoft Office and general IT tools.
- Valid Driving Licence preferred
Language requirements
- Fluency in English is required.
- Fluency in Ukrainian language skills.
- Knowledge of additional languages is preferred.
