TERMS OF REFERENCE
- Project Overview
DW Akademie is Deutsche Welle’s centre for international media development, journalism training and knowledge transfer. Our projects strengthen the human right to freedom of expression and unhindered access to information. DW Akademie empowers people worldwide to make independent decisions based on reliable facts and constructive dialogue.
To ensure the high-quality escape room development, the project includes full-service execution at all stages: from idea generation and scenario writing to technical specifications and final deliverables. The final outcome of this procurement will be full technical support, allowing for the escape room’s seamless implementation.
DW Akademie is looking for a technical support provider for the media and information literacy escape room in Ukraine – a joint project implemented by DW Akademie and Public Media Academy Juniors of Suspilne team (PMA).
2. Test phase of the Escape Room
- Functional testing: Testing all elements of the puzzles (locks, sensors, audio/video effects, scenarios) which shall meet the storyline.
- Scenario testing: Conducting trial games to check the logic of the puzzles, the complexity of the tasks and the duration of the game.
- Safety testing: Assessing the safety of all elements for participants, including checking for compliance with fire safety, electrical safety and ergonomics standards.
- Equipment stress testing: Checking the operation of technical equipment in high load mode (when used simultaneously by several groups).
- Feedback collection and processing: Conducting testing with the participation of trial groups and analyzing their responses.
- Identifying and correcting errors in logic, sequence of tasks.
- Preparation of the Escape Room (Setting-up)
- Check of the activity spot: Preliminary assessment of the location with the aim to determine the compliance with technical and safety requirements (availability of a flat surface, access to the power grid, sufficient space for the construction of the Escape Room).
- Equipment transportation: Delivery of all components of the Escape Room to and from the event location(s), ensuring their integrity and timely delivery, including vehicles, loaders and packaging materials.
- Construction: Installation of the frame, walls, floor and other structural elements of the Escape Room.
- Decoration elements: Distribution of the thematic elements, furniture, props and other decorative objects according to the storyline.
- Connection of technical equipment: Installation and adjustment of audio, video, controllers and other electronic systems.
- Safety check: Checking the structure for strength, electrical safety, absence of sharp edges and other risks to participants. Checking power systems, batteries, electronic locks. Regular service of the room, equipment repairs, software updates.
- Replenishment of batteries, light bulbs, magnetic cards, printer paper, etc.
- Ensure the presence of qualified and trained moderators/facilitators who are responsible for conducting the sessions, interacting with participants, providing guidance and hints as needed, and ensuring the safety and well-being of all participants.
- On-site technical support throughout the operation of the quest room. Managing lighting, tablets, audio equipment, electronic locks, and other technical components necessary for the successful functioning of the room.
- Ensure compliance with branding requirements, including the display of partner and donor logos and proper acknowledgment of DW Akademie, Suspilne, and other relevant organizations throughout the quest room environment.
4. Moderation of the Escape Room
- Ensure the presence of qualified and trained moderators/facilitators who are responsible for conducting the sessions, interacting with participants, providing guidance and hints as needed, and ensuring the safety and well-being of all participants.
- On-site technical support throughout the operation of the quest room. Managing lighting, tablets, audio equipment, electronic locks, and other technical components necessary for the successful functioning of the room.
- Ensure compliance with branding requirements, including the display of partner and donor logos and proper acknowledgment of DW Akademie, Suspilne, and other relevant organizations throughout the quest room environment.
- Post-preparation of the Escape Room (dismantlement):
- Equipment shutdown: Safe shutdown of all electronic systems, lighting, and other technical equipment elements.
- Structural disassembly: Dismantling the frame, walls, floor, and other elements of the Escape Room.
- Elements and Escape Room artefacts packaging: Sorting, packaging, and labeling all the elements (decorations, props, equipment) for further transportation or storage.
- Transportation: Removal of the Escape Room components from the installation site to a storage or other location specified by the Customer.
- Location Cleaning: Cleaning the site after dismantling, including removing debris and dust.
- Storage: Ensuring conditions for storing the Escape Room components (composition, humidity control, protection from damage).
- Preparing a final report summarizing the number of sessions held, number of participants, any incidents, key observations, and recommendations for improvement.
- Qualifications
- Previous work on escape rooms or interactive learning platforms.
- Experience in interactive media, and digital technologies.
- Technical capacity to provide the described tasks
- Experience in technical testing
- Working Framework
- Offline, Ukraine – total of 5 locations (Kyiv and other regions)
- Frequent communication with the PMA team
- Separate renumeration for the testing phase
- Renumeration for the full cycle on each location
- Expected engagement time frame: August 2025 – March 2026
